How to choose a banquet or reception hall: what to ask on a tour

  1. What is included in the hall rental? Ask for a list: tables, chairs, linens, china, sound, lighting, bar, setup and cleanup.
  2. What is the capacity for a seated meal and for a standing reception? The two numbers are often different. Ask which one the venue quotes.
  3. Is catering in-house, optional or required? Ask whether outside catering or alcohol is allowed, and any fee.
  4. How many hours does the rental include? Ask about extra hours, setup time and teardown time.
  5. What are the deposit, payment schedule and cancellation terms? Read them in the contract. Ask whether taxes and service charges are already in the quote.
  6. Is there parking, and is the building accessible? Ask how many spaces there are and how guests with limited mobility get in.
  7. Can you see the room set up for an event like yours? Ask to tour at the time of day you plan to hold the event.

These are questions to ask, not facts about any one venue.
